Mission Statement

Our Mission is to empower women and children while incorporating a strong sisterhood. We are here to provide counseling, as well as mentor at risk youth across the Chicagoland area. We are a sisterhood that is focused on inspiring women, but is not limited to the help we provide to others. Our Motto speaks for itself,"Ladies Are Made To Be Seen Not Heard" goes a long way. We are not boastful, but we take pride in the work that we do with great humility.

While we are an organization who believes in humbleness, we are known for lending a wing to others, volunteering effortlessly, feeding the homeless, and assisting young women and children find shelter, and support causes like HIV/AIDS, Cancer, Teen Pregnancy and Domestic Violence.

Our main goal is to represent sisterhood in a different way. We believe in enlightening intelligence, sophistication, beauty education, and integrity. The Ladye Doves strives to support others by encourageing one another to achieve their highest goals. We understand that by showing love and kindness all things can be achieved.

Article I. Name

Article III. Dove Board of Officials

The Board of Officials shall serve without pay and consist of 4 members. Eligibility criteria to become a board member must be a member of the doves for 2 years, already serving as a dove committee member, all dues must be paid on time, attend all meetings and events, follow by the Ladye Dove mission statement, actively mentoring a junior dove, follow all policy and procedures, as well as the bylaws of the Ladye Dove handbook. Dove Board members shall serve a 2 year term.


Vacancies shall be filled by the Board, with the recommendation of the Board Officials.

Board members absent more than 3 in-person meetings in 1 calendar year and 3 conference calls in 1 calendar year shall dismissed from the Board. Board members will be allowed to serve on a dove committee (as long as membership is in good standing) or as a dove member after being dismissed from the board.

Article IV. Officers

The officers of the board shall consist of a President, Vice President, Secretary, Treasurer. Additional board officers include and is not limited to public relations, Community Organizer and Sergeant at arms in which are all nominated by the Board. Elected officers will serve a term of 2 years.

Officers Duties

President Duties

  • Prepares all meetings agenda with other officers & advisors.

  • Presides at all dove meetings

  • Uses parliamentary procedure to conduct business meetings.

  • Understands responsibilities of other dove officers.

  • Shows a real interest in The Ladye Doves and helps carry out dove’ decisions.

  • Plans ways to get every member to participate in meetings and delegates responsibility.

  • Appoints committees as needed.

  • Works with the dove advisors to establish a system for notifying The Ladye Dove members of dove meetings and activities

  • Calls the Vice-President to reside at the meeting if unable to attend.

  • Follow up with all officers & advisors on recruiting new members. Establishing contact with potential members

Vice President

  • Presides at meetings if the President is absent.

  • Introduces program at dove meetings.

  • Assists committees as needed.

  • Follow up with all officers & advisors on recruiting new members. Establishing contact with potential members.

Secretary Duties

  • Keeps an accurate written record of the dove business meetings.

  • Records all attendance at each meeting.

  • Writes thank you letters to speakers, sponsors, etc.

  • Writes all the correspondence as directed by the Committee and/or organizational advisor.

  • Establishing contact with potential members

Treasurer Duties

  • Keeps an accurate account of all dove money received and spent by the doves.

  • Gives a financial report at each dove meeting.

  • Gives an annual financial report at the final dove meeting for the year.

  • Prepare a dove budget with the president, vice president and event planner and presents to the dove members for approval.

  • Balances the bank statement each month

  • Pays bills when approved by the president and or vice president.

  • Establishing contact with potential member

Public Relations Duties

  • Responsible for getting the dove publicity

  • Posting events and updating club websites.

  • Monitoring all traffic in and out of all the dove web pages.

  • Establishing contact with potential members

Committee Organizer

  • Make sure all events and activities planned by the doves are organized and carried out

  • Contact all vendors, get price quotes, collect receipts and turn in to treasurer

  • Establishing contact with potential member

Sergeant at arms

  • In charge of ensuring all members of the doves are present and that they conduct themselves properly throughout the meetings.

Article V. Committees

Committee Organizer Officer with the final approval of the President and Vice President may appoint standing and ad hoc committees as needed. All committee members must fully commit to their job description, report to the committee organizer of any complication with funds being collected, fundraising obligations, anyone with concerns of the organization fundraising and or litigations, or any disparagement of anything having to do with any member or fundraising duties of the ladye doves organization. All committee members must be in attendance during every in-person meeting and every conference calls with all fundraising updates.

Article VI. Meetings/Events

Annual membership meetings of this organization shall be held during the first week of January of each and every year. No one else but the board shall re-schedule this day. A notice shall be sent out to all members if the annual meeting is re-scheduled.

Regular meetings shall be held every month. Meetings are once a month via conference calls or in-person. Conference calls are usually held on thursday's at 8:00pm(eastern standard time). In-person meetings are usually held on friday, saturday or sunday(time and day will be posted on the dove website calendar). All doves are expected to meet up at dove scheduled events for the month in counting. All doves are expected to assume the responsibility to check the dove website for when and where a meeting is scheduled. Monthly meetings will never be scheduled on week five of any month. Special meetings may be held at any time when called for by the President or a majority of Board members. Note that all meetings and events are mandatory for all doves, no exceptions as to why you can't make it to a meeting or event. All missed in person meetings are subject to a $5 fine and must be paid prior to returning the to the next scheduled in person meeting or event.

You are only allowed to miss 3 in person meetings and 1 event in a year only. The meetings at the beginning of the year are the one's that you don't want to miss. If you miss more than 3 then all necessary rules will apply and you would be forfeiting any monies you contributed to the organization. The rules must be enforced, we hope that you understand.

The secretary shall send out notice of all meetings via email blast from dove website, text message, phone, facebook message or mail 2 weeks prior to meeting.

Article VII. Membership

The Ladye Doves social club membership is open to any adult without regard to race, color, disability, belief, faiths, creed, or national origin. New member must agree to stand by our Mission Statement. To begin membership with the doves you must attend two events and 1 meeting, complete a membership application, meet with a member of the board,  pay all membership dues in full and agree to abide by all dove rules.

Members of the Ladye Dove Organization must be 25 years of age or older. Dove members will be allowed to mentor one mentee from ages 12 to 21. All new and current members are expected to know the Ladye Doves Mission Statement and must be able to recite it when asked by a member or non member.

Membership Dues

Because The Ladye Doves does not profit off any dues, fundraising money, or donations made to this organization, it is required that all members of The Ladye Doves commit to purchasing all required uniforms listed in your membership handbook.  Upon joining all members of the doves must commit and is required to pay a total of $50 joining fee. Joining fees are paid each calendar year. The amount of the dues/fees may change if needed and agreed upon by the board members. Any changes in the dues/fees must be given in writing to all current members. Donations, fundraising money and joining dues/fees are used to assist in paying for all charitable and educational events held by The Ladye Doves. Throughout the year there maybe special event items to purchase, depending on the event these items may or may not be mandatory. Keep in mind that if all members of The Ladye Doves pay there dues/fees on time, participate in all scheduled events and fore-fill fundraising obligations, the organization can be ran successfully.

Article VIII. Voting

(a) A majority of board members(president, vice president, secretary and treasurer) constitutes a quorum. (b) In absence of a quorum, no formal action shall be taken except to adjourn the meeting to a subsequent date. Passage of a motion requires a simple majority (ie, one more than half the members present).

Article IX. Conflict of Interest

Any member of the board who has a financial, personal, or official interest in, or conflict (or

appearance of a conflict) with any matter pending before the Board, of such nature that it

prevents or may prevent that member from acting on the matter in an impartial manner, will

offer to the Board to voluntarily excuse herself and will vacate her seat and refrain from

discussion and voting on said item.

Article X. Fiscal Policies

The fiscal year of the board shall start on January 1 and end on December 31 of every year.

Article XI. Amendments

These by-laws may be amended in a written proposal with altering ideas. Proposal must be addressed to the president and vice president at a dove in-person meeting. The proposal will be considered by a two-third vote of all Board members present at the following dove in-person meeting. All present board officers will receive a copy of recommended alterations and a copy of the amended amendments.
